Setup Email Stationery Templates

Installing Stationery in Microsoft Outlook 2003

  1. insilico TM will send you a set of files required for Microsoft Outlook 2003. There should be an example_stationery.htm file and a set of image files (images.jpg and/or images.gif). Place these files into a temporary folder.

    Note: The icons may appear differently depending on your computer. For accuracy, choose the files based on their extensions. (example_stationery.htm’s extension is .htm)

  2. Select the file with the .htm extension. Right-click on its icon to open a pop-up menu list. Place the cursor over the Open With menu item to reveal another menu list. Select either Notepad or Wordpad (these two text editors are default Windows software). This will open the selected text editor.

  3. Within the text editor (i.e. Notepad or Wordpad) click your mouse cursor at the very start of the text (the text is called HTML – it is what email software reads to display the final result) and then press the Ctrl and F keyboard buttons at the same time to open the Find pop-up window.

  4. Enter into the ‘Find what:’ field the default name – the default name is generally the name of the client we have sent the stationery to. Click the Find Next button.

  5. This will select the name within the text of the page. Close the Find pop-up box by clicking the cross button in the top right corner.

  6. Replace the default name’s text with the name of the person that will be using the stationery on this computer. For example, Joe Blogs, Mary Lamb, Tim or Reception.

  7. Also change the title, which should be next to the name.

  8. If your email stationery includes an email address, follow the same steps to Find the default email address. If the Find does not locate this email address, then your stationery did not include a space for an email address. Replace the email address with the email address of the person who will be using this computer.

  9. Click the File menu at the top of the text editor window and then click Save from the drop down menu list.

  10. Close the text editor by clicking the cross in the top right corner.

  11. In the temporary folder, select all the files.

  12. With the files selected, right-click on one of the files and select Copy from the menu list that appears.

  13. Navigate to the following folder:
    C:\Program Files\Common Files\Microsoft Shared\Stationery\

  14. Right-click within the Stationery folder and then click Paste from the menu list that appears. This will paste all of the files into this folder.

  15. Open your Microsoft Outlook email software.

  16. Select the Tools menu from the top of the window. From the drop-down menu list click on Options.

  17. In the pop-up window, select the Mail Format tab at the top.

  18. Under the Stationery and Fonts section, click the down arrow to show the drop-down list of email stationery. Select your new stationery (it will be named the same as the .htm file).

  19. Click the OK button at the bottom of the pop-up window to confirm.

  20. Create a new email to test your stationery.

Installing Stationery in Microsoft Outlook 2007

  1. insilico TM will send you a set of files required for Microsoft Outlook 2003. There should be an example_stationery.htm file and a single folder.

    C:\Program Files\Common Files\Microsoft Shared\Stationery\

  12. Right-click within the Stationery folder and then click Paste from the menu list that appears. This will paste all of the files into this folder.

  13. Open your Microsoft Outlook email software.

  14. Select the Tools menu from the top of the window. From the drop-down menu list click on Options.

  15. In the pop-up window, select the Mail Format tab at the top.

  16. Under the Stationery and Fonts section, click the Stationery and Fonts button.

  17. Click on the Theme button within the new window.

  18. Select the new stationery from the list (it will be named the same as the .htm file). Click OK.

  19. Click the OK button at the bottom of the window to close it.

  20. Create a new email to test your stationery.
